Haven for Hope Seeks RFBs for Elevator Maintenance and Repair Services

Request for BID – Elevator Preventative Maintenance and Repair Services

Haven for Hope is seeking qualified elevator service contractors to submit bids for comprehensive preventative maintenance, inspection support, testing, repair, and emergency service for six (6) elevators located throughout the Haven for Hope Campus in San Antonio, Texas.

Bid Submission Deadline:

Interested parties should submit their proposals by 5:00 PM, Monday, June 22, 2026, via email to Peter Ramirez (Peter.Ramirez@havenforhope.org). 

Site Visit:
An In-Person site visit will be held on Wednesday, June 17, 2026, at 10:00 AM (meeting location: Volunteer Center, 1 Haven for Hope Way, San Antonio, TX 78207). The site visit is highly recommended to answer all questions and to provide clarification.

Scope of Services: 

The selected contractor shall provide all labor, supervision, tools, equipment, materials, consumables, and transportation necessary to perform comprehensive elevator maintenance and repair services, including but not limited to the following:

Preventative Maintenance

  • Scheduled preventative maintenance in accordance with manufacturer recommendations and applicable codes
  • Lubrication, adjustment, cleaning, calibration, and inspection of elevator components
  • Inspection and maintenance of:
    • Controllers
    • Door operators
    • Hoist motors
    • Hydraulic systems
    • Pumps and valves
    • Safety devices
    • Car operating panels
    • Hall call stations
    • Leveling systems
    • Communication systems
    • Emergency lighting and alarms
    • Traveling cables
    • Guide rails and rollers

Testing & Inspections

  • Coordination and support for annual state inspections
  • Assistance with Category 1 and Category 5 testing as required
  • Documentation and correction of deficiencies identified during inspections

Repairs & Service Calls

  • Troubleshooting and repair of equipment malfunctions
  • Replacement of worn or failed components
  • Minor repairs included under maintenance agreement as specified by contractor
  • Provide pricing structure for repairs outside base agreement

Emergency Response

  • 24/7 emergency response availability
  • Elevator entrapment response
  • Provide guaranteed response times for: Emergency calls
  • Non-emergency service calls

Reporting

  • Service reports following each visit
  • Documentation of deficiencies and recommended repairs
  • Maintenance logs and inspection records
  • Quarterly equipment condition reports

Company qualifications and years of experience

  • Experience servicing KONE MRL and Smartrise hydraulic elevators
  • List of similar projects or service contracts
  • Proposed preventative maintenance schedule
  • Detailed scope of included services
  • Description of excluded services
  • Emergency response procedures and response times
  • Technician certifications and licenses
  • List of subcontractors (if applicable)
  • Proposed contract term options
  • Pricing structure including:
    • Monthly preventative maintenance cost
    • Hourly labor rates
    • Overtime and holiday rates
    • Emergency service rates
    • Parts markup percentages
    • Sample maintenance agreement
    • References from at least three (3) comparable clients
    • Proof of insurance
    • Bonding capacity (if applicable)
